Rate $50,000 to $65,000–, plus overtime and generous benefits

 

Overview

The Legal Aid Society of Northeastern New York, a nonprofit civil legal services program, is seeking an Administrative Assistant. Legal Aid’s mission is to fight for fairness, dignity, and justice for those living in poverty and for a society that is inclusive and equitable for all. We transform lives, build community, and empower people by using the law to address individual and systemic wrongs and inequities. Our service area spans sixteen counties, in upstate New York, encompassing six regional offices. This position can be based out of any of our six offices. Administrative Assistant (Management/Confidential):  We are currently looking for an administrative assistant to be a supportive force who empowers our executive management team. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on administrative assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

 

Minimum Requirements

  • Four or more years of experience in an administrative role reporting directly to executive management.
  • Excellent written and verbal communication skills.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes.
  • Ability to maintain confidentiality of information related to the organization and its staff.
  • Type 40 wpm.

 

Preferred Requirements

  • Prior experience working with low-income people or low-income communities.
  • Be a notary public and perform such duties as needed.
  • Type 60 wpm.

 

Administrative Assistant Essential Duties and Responsibilities

  • Manage professional scheduling for DD, including agendas, mail, email, phone calls, client management, and other program logistics.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to the Executive management Team and staff as necessary.
  • Provide administrative and office support, such as typing, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
  • Maintain professionalism and strict confidentiality with all materials.
  • On behalf of the Deputy Director, maintain relations with a wide range of diverse persons and groups. In the absence of the Deputy Director or to save them time, use independent judgement consistent with established guidelines and the need for retaining effective diplomatic relations.
  • Schedule and organize meetings, trainings, or travel including preparing meeting agendas, materials, and reminders. .
  • Assist in the basic administration of the program by updating SharePoint, filing grant applications and reports, and participating in community events.
  • Must be available to work overtime when requested/needed.

 

 Work Environment

This position operates in a professional law office environment and occasionally may require the carrying of items of up to 20 pounds. This role requires the use of standard office equipment and software and remote videoconferencing platforms.
